Company outing coach hire: essentials for HR and administration
For company outings, departmental team building, annual dinners and client events, transport is often arranged last but is especially prone to problems. Address four things first: count passengers accurately, choose transfers or hourly hire to suit the itinerary, allow for tolls, out-of-hours and extra-stop charges, and appoint one person to liaise with drivers.
According to the Flying Eagle price list, urban hourly hire is $320/hour for 24/28 seats and $380/hour for 45/60 seats, both with a 4-hour minimum. One-way urban Kowloon rates are $500 and $700 respectively. For an 80-person company barbecue in Sai Kung, a 60-seat plus a 28-seat coach for outward and return transfers costs around $3,300, or about $41 per employee. The calculation is explained below.

Events
Which company events need a coach?
When a group exceeds a dozen people or the venue is hard to reach by public transport, a coach usually saves time compared with independent travel and helps colleagues arrive together on schedule. Common occasions include:
Company and staff outings
Full-day local tours, countryside barbecues and holiday camps. Larger groups usually need 45/60-seat coaches, most often with separate outward and return transfers.
Departmental team building
Adventure activities, workshops and indoor or outdoor team building typically involve 20–50 people. A 24/28- or 45-seat coach is usually suitable.
Annual dinners, company gatherings and spring banquets
Take staff from the office to a hotel or restaurant, then provide district drop-offs afterwards. Allow for out-of-hours charges after 22:00.
Client reception and business events
Airport transfers for overseas clients, conference and exhibition shuttles, and factory or project visits can use Mercedes cars, seven-seaters or coaches.
Volunteering and corporate social responsibility
Visits to social service organisations, countryside cleanups and community activities often require supplies; a large coach's luggage compartment is useful.
Training, study visits and cross-border exchanges
For training centres or mainland visits, choose a 45/49-seat cross-border coach. See Hong Kong–mainland vehicle hire service.
Regular staff transport at fixed times and stops, such as between an MTR station and an office or factory, is a shuttle service. It differs from one-off events and can be arranged monthly or by contract. Please contact customer service.
Seats
Staff numbers and coach combinations
Attendance often changes after registration. A useful booking basis is confirmed attendance plus around 10% spare capacity. Count external trainers, photographers, hosts and accompanying family members too. Passenger numbers must not exceed approved seating capacity.
| Participants | Suggested combination | Total seats | Suitable activities |
|---|---|---|---|
| 1–6 people | Seven-seater or Mercedes | 6–7 | Client reception and executive travel |
| 10–16 people | 16-seat minibus; enquire for local rates | 16 | Small departmental events |
| 17–28 people | 24/28-seat coach | 24–28 | Departmental team building and workshops |
| 29–60 people | 45- or 60-seat coach | 45–60 | Medium-sized company outings |
| 61–88 people | 60 seats + 24/28 seats | 84–88 | Whole-company events |
| 89–120 people | Two 60-seat coaches | 120 | Large annual gatherings and company outings |
| More than 120 people | Several 60-seat coaches, plus a vehicle for the remaining passengers | As required | Group-wide corporate events |
- 24/28-seat coaches share one price band; 45/60-seat coaches share another.
- When numbers approach 45, choose 60 seats for more room at the same listed rate.
Allocate by department or home district?
For office departures, departmental groups simplify roll calls. For homeward trips, grouping by residential district is more efficient: for example, one coach for Hong Kong Island and Kowloon East, another for the western New Territories. Explain both arrangements when booking so vehicle numbers can be planned together.
For more vehicle comparisons, see the Coach seating, prices and services guide, or browse Fleet photos.
Booking mode
Corporate coach hire: transfers, hourly charter or a combination?
Corporate itineraries vary widely. Choosing the wrong booking type can add substantially to the bill. Three common approaches are:
| Booking type | Best suited to | Key charging points |
|---|---|---|
| Two one-way transfers | Office to one venue; no coach needed during activities | District-based fares include Cross-Harbour Tunnel and bridge tolls |
| hourly charter | Several destinations in one day or a coach on standby | Minimum 4 urban hours; tolls and parking extra |
| Combined arrangement | One-way outward transfer; hourly return for staff drop-offs | Each part of the itinerary priced separately |
Two transfers: the usual choice for company outings
If staff stay at one barbecue site, campsite or venue all day and the coach need not wait, separate outward and return transfers usually offer the best value. Included Cross-Harbour Tunnel and bridge tolls also make budgeting easier.
Hourly charter: suited to multi-stop itineraries
Hourly hire suits a morning visit, lunch and afternoon team building at three different venues, or keeping the coach with the group for access to belongings. Additional en-route stops cost $100 each; tolls and parking are extra.
Combined arrangements: practical for dinners and departures
A common annual dinner arrangement is a one-way office-to-hotel transfer followed by hourly hire for district drop-offs. This combines a fixed outward fare with return flexibility. For more quotation comparisons, see the coach booking process and quotation guide.
Price
Corporate coach prices: six worked examples
All prices below are taken from the Flying Eagle price list. They are for budgeting only; actual charges follow the quotation.
| Local one-way transfers from Kowloon | 24/28 seats | 45/60 seats | Mercedes | Seven-seater |
|---|---|---|---|---|
| Urban Kowloon | $500 | $700 | $450 | $400 |
| Sha Tin, Lei Yue Mun, Tseung Kwan O, Kwai Chung, Tsuen Wan and Tsing Yi | $550 | $750 | $500 | $450 |
| Wu Kai Sha, Ma On Shan, Tai Po and Fanling | $650 | $850 | $600 | $550 |
| Sai Kung, Sheung Shui, Tuen Mun, Yuen Long, Clear Water Bay, Tai Mo Shan and Kowloon Peak | $700 | $950 | $650 | $600 |
| Tin Shui Wai, Ta Kwu Ling, Lok Ma Chau and Mai Po | $750 | $1,000 | $700 | $650 |
| Hourly charging basis | 24/28 seats | 45/60 seats | Mercedes | Seven-seater |
|---|---|---|---|---|
| Minimum 4 hours: urban areas, Lei Yue Mun, Tseung Kwan O, Kwai Chung, Tsing Yi, Tsuen Wan, Chai Wan and Aberdeen | $320 | $380 | $350 | $250 |
| Minimum 5 hours: The Peak, Tai Tam, Southern District, Stanley, Shek O and Repulse Bay | $350 | $450 | $380 | $280 |
| Airport, Sai Kung, Tai Po, Fanling, Sheung Shui, Tin Shui Wai, Yuen Long, Tuen Mun and similar districtsAn extra 1-hour charge applies to hire of less than 6 hours | $350 | $450 | $380 | $280 |
- Hire is charged hourly. Before 08:30 or after 22:00, 28/45/60-seat vehicles incur $100/$200 extra per trip; seven-seaters incur $100.
- One-way fares include Cross-Harbour Tunnel and bridge tolls. For 28/45/60 seats, using the Eastern, Western or Tai Lam Tunnel instead adds $55, $110 or $120 respectively.
- Waiting is limited to 15 minutes; longer waits are charged as 1 hour. Cancellations within 24 hours are non-refundable.
Example 1: half-day departmental team building, 28 seats for 4 hours
25 colleagues travel from a Kowloon office to an urban workshop and back. Urban 24/28-seat hire is $320/hour: $320 × 4 = $1,280, about $51 per person. Tolls and parking are extra.
Example 2: an 80-person Sai Kung barbecue, two transfers
A 60-seat and a 28-seat coach provide 88 seats for 80 people. One-way from Kowloon to Sai Kung: $950 + $700 = $1,650. Outward and return: $1,650 × 2 = $3,300, about $41 per person. Tai Mong Tsai or Pak Tam Chung adds $50 per coach per trip.
Example 3: the same itinerary with hourly hire
Hiring both vehicles for 7 hours instead costs $450 + $350 = $800/hour; $800 × 7 = $5,600, plus tolls and parking. That is around $2,300 more than two transfers. Unless changing destinations during the day, separate transfers are clearly better value.
Example 4: Hong Kong Island office to Stanley, 45 seats for 5 hours
Stanley has a 5-hour minimum at $450/hour for 45/60 seats: $450 × 5 = $2,250. For transfers, the Hong Kong Island–Stanley 45/60-seat fare is $950 each way, or $1,900 return, with an additional $50 per trip for Southern District.
Example 5: annual dinner district drop-offs, hourly hire plus stops
A 45-seat coach for 4 urban hours costs $380 × 4 = $1,520. Three additional en-route stops cost $100 × 3 = $300, giving $1,820. After 22:00, add $100 or $200, for an estimated $1,920–$2,020, with tolls extra.
Example 6: overseas client airport transfer, Mercedes one-way
From an urban Kowloon hotel to the airport, a Mercedes costs $600 one-way and a seven-seater $550. For more than 6 clients, consider a 24/28-seat coach, with urban Kowloon–airport fares from $750.
Budget
Corporate transport budgets and per-person costs
Many companies assess event budgets per employee. Estimate transport costs with this formula:
Cost per person = (base fare + surcharges + tolls and parking) ÷ participants
| Budget item | Included? | Tip |
|---|---|---|
| Base fare | By transfer or hourly hire | See the price list |
| Cross-Harbour Tunnel and bridge tolls | Included in local one-way fares | Extra for hourly hire |
| Eastern / Western / Tai Lam Tunnel | Not included | Alternative one-way routes add $55/$110/$120 |
| Parking | Extra for hourly hire | Allow for venue parking charges |
| Out-of-hours surcharge | Depends on timing | Before 08:30 / after 22:00 |
| Extra-stop charge | $100 per stop for hourly hire | For stops along the route |
| Remote-location surcharge | Depends on location | For example, Tao Fong Shan +$100; Tai Mong Tsai +$50 |
| Excess waiting | More than 15 minutes | Charged as 1 hour |
5 ways to control the budget
- Choose the larger vehicle in the same band: 24 and 28 seats share a rate, as do 45 and 60 seats. Choose more capacity when close to the limit.
- Avoid out-of-hours periods: Local hourly service between 08:30 and 22:00 avoids this surcharge.
- Use two transfers for a single destination: If no standby is needed during activities, do not pay for all-day hourly hire.
- Combine pickup points: Each extra pickup adds a stop charge; colleagues could assemble at an MTR station.
- Assemble on time: Waiting beyond 15 minutes is charged as 1 hour. Assign someone to prompt staff and take roll calls.
Annual dinner
Annual dinner departures: taking staff home by district
Annual dinners often finish after 10 pm. Independent journeys home can be inconvenient and detract from the event, so many companies arrange district coach drop-offs.
Step 1: collect preferred drop-off districts
Add a post-dinner drop-off district field to registration, such as Hong Kong Island East, central Kowloon, Tseung Kwan O, Sha Tin, Tsuen Wan, Tuen Mun or Yuen Long. Allocate vehicles by demand.
Step 2: plan stops along each route
Give each coach a coherent route, using MTR stations or major landmarks to reduce stop numbers. Extra en-route stops cost $100 each for hourly hire; concentrated routes cost less.
Step 3: budget for out-of-hours charges
After 22:00, 28/45/60-seat coaches incur $100 or $200 extra per trip; seven-seaters incur $100. Include this in the budget.
Step 4: estimate the finish time accurately
Coach waiting is limited to 15 minutes. Prize draws and awards can delay dinner endings. Allow a buffer when booking or set boarding 15–20 minutes after the expected finish.
Client hospitality
Client reception and business transport
When welcoming overseas clients, partners or executives, presentation matters alongside punctuality. Flying Eagle's Mercedes luxury saloons and seven-seaters suit small business groups; coaches can serve larger conferences or exhibitions. Drivers can speak Cantonese, English and Mandarin.
Airport arrivals
Provide the flight number and arrival time when booking. Urban Kowloon–airport one-way fares are $600 for Mercedes and $550 for seven-seaters.
Hotel–venue transfers
Hourly hire can cover repeated conference transfers. Urban Mercedes hire is $350/hour, minimum 4 hours.
Project or factory visits
A 24/28-seat coach can carry a larger client group together, with urban hire from $320/hour.
For more airport arrangements, see the airport coach transfer guide.
Cross-border
Greater Bay Area visits and cross-border company outings
For company outings or business visits to Shenzhen, Guangzhou, Zhuhai, Dongguan, Foshan or Zhongshan, a cross-border coach runs directly from Hong Kong without changing vehicles. Flying Eagle's cross-border options include seven-seaters, 16-seat minibuses and 45/49-seat coaches.
| Cross-border one-way transfer | Seven-seater | 16 seats | 45/49 seats |
|---|---|---|---|
| Urban Kowloon / Hong Kong Island → Shenzhen Airport | From 1,100 | From 1,500 | From 2,000 |
| Shenzhen Airport → urban Hong Kong | From 1,200 | From 1,800 | From 2,100 |
- Holiday quotations may differ; provide an address for other mainland cities.
- 16/45/49 seats: an additional $500 per trip before 07:00 or after 19:30.
- Participants must bring valid travel documents.
For routes and border arrangements, see the Hong Kong–mainland hire prices and booking guide.
Timeline
Corporate booking timeline
Corporate events cluster around year-end, Lunar New Year and spring, when demand is higher. HR and administration teams can use this timeline:
- 8 weeks before: Set the date, venue and approximate numbers; obtain a preliminary quotation for budget approval.
- 4–6 weeks before: Confirm after internal approval and provide pickup/drop-off points and times.
- 2 weeks before: Close staff registration and confirm final passenger and vehicle numbers.
- 1 week before: Issue transport notices with assembly time, location and coach number.
- 2 days before: Reconfirm timings with the operator. Cancellations within 24 hours are non-refundable.
Weather and contingency plans
Outdoor events depend on the weather. Set a postponement or cancellation decision time in the event plan and ask customer service about rescheduling when confirming.

On the day
Event-day procedures and responsibilities
1. Appoint a lead coordinator
One colleague should liaise with all drivers and hold vehicle registrations, driver numbers and routes. Other staff should contact this coordinator first rather than calling drivers separately.
2. Assign a coordinator to each coach
Each coach should have a colleague responsible for roll calls and boarding reminders. Lists can be organised by department or return district.
3. Assemble 15 minutes before departure
Waiting beyond 15 minutes is charged as 1 hour. State an assembly time 15 minutes before departure in the notice to allow for roll calls.
4. Load and unload equipment
Prepare supplies, prizes and equipment beforehand, placing bulky items in the luggage compartment. Assign someone to check nothing is left on return.
5. Check before returning
Take another roll call before the return departure and tell the driver to leave only once everyone is aboard.
Common mistakes
6 common corporate coach booking mistakes
- Booking only for registered numbers, without spare seats: Extra colleagues or family members on the day can leave insufficient capacity.
- Hiring all day for just one destination: Two transfers can save substantially if no coach is needed during the activity.
- Too many pickup points: Each extra stop adds $100 and slows the journey.
- Forgetting late-night surcharges: Annual dinners often finish after 22:00; allow for this in the budget.
- Underestimating the finish time: Waiting beyond 15 minutes is charged as 1 hour.
- Confirming numbers or cancelling too late: Cancellations within 24 hours are non-refundable.
