Large-event transport guide
Event bus transfers: key answers first
For concerts, matches, awards, annual dinners and exhibitions, the hardest transport stage is often not arrival but departure. Tens of thousands leave together, taxis are scarce and MTR services crowded. Without advance coach arrangements, groups can separate or be delayed. Three points matter: whether the finish time is certain, whether the pickup point is clear, and late-night surcharges.
According to the Flying Eagle price list, urban Kowloon one-way fares are $700 for 45/60 seats or $500 for 24/28 seats. Urban hourly 45/60-seat hire is $380/hour, minimum 4 hours. Waiting beyond 15 minutes is charged as 1 hour. Local hourly 28/45/60-seat service after 22:00 adds $100/$200 per trip. For uncertain finish times, hourly return hire is usually more dependable than a fixed transfer.

Events
Which events suit coach transfers?
Concerts and music festivals
Corporate groups, staff benefit outings, fan clubs and tour groups often leave concerts after 10 pm amid concentrated crowds. A dedicated coach can collect the whole group together.
Matches and sports activities
Football, rugby, school competitions and running events have concentrated arrival and departure times. Early runs may incur morning out-of-hours charges.
Annual dinners, awards and spring banquets
Take staff or guests home by district after dinner. See the company outing and annual dinner coach guide.
Wedding banquet departures
Transfer guests from the restaurant to MTR stations or district drop-offs. See the wedding coach prices and booking guide.
Exhibitions and conferences
Multi-day hotel–venue transfers for exhibitors and overseas delegations usually use daily hourly arrangements.
Carnivals and community activities
Organisations and associations can transport members between districts and large-event venues.
Challenges
Why are post-event departures difficult?
Ordinary coach itineraries usually have fixed departure and return times. Large events introduce uncertainty:
Uncertain finish time
Concert encores, extra time or penalty shootouts, and delayed award programmes can extend events.
Concentrated departure crowds
Walking from seats to the pickup point among crowds may take ten to twenty minutes or more.
Special traffic arrangements
Traffic controls around large venues often change normal boarding locations during events.
Night-time surcharges
Most evening events finish after 22:00, triggering out-of-hours charges.
With waiting limited to 15 minutes and longer waits charged as 1 hour, fixed-time return transfers can incur extra costs or require rearrangement if the event runs late or the crowd moves slowly.
Booking mode
Event return journeys: transfers or hourly hire?
| Arrangement | Best suited to | Risk |
|---|---|---|
| One-way outward + one-way return | A certain finish time, such as a dinner with a clear end time | Waiting beyond 15 minutes is charged as 1 hour |
| One-way outward + hourly return | Concerts or matches with uncertain finish times | Budget for at least 4 hours of hire |
| Hourly hire throughout | Several activities before and after the event, such as dinner before admission | Longer total hire; check out-of-hours periods |
| Multi-day hourly hire | Daily hotel–venue transfers for exhibitions or conferences | Charged for each day's actual booked service hours |
Why use hourly return hire when the finish time is uncertain?
Hourly hire lets the coach stand by from the agreed time. A late finish does not trigger a separate recalculation for exceeding 15 minutes of waiting. Concert and sports groups have time to exit and take roll calls without the organiser worrying about a transfer waiting overrun.
When is a one-way transfer sufficient?
A fixed transfer works when the end time is clear, such as a dinner ending at 22:00 or an exhibition closing at 17:00, or when the group walks to a separate assembly point for a fixed pickup. Set boarding 20–30 minutes after the expected finish, rather than at the finish itself.
Kai Tak Sports Park
Coach arrangements at Kai Tak Sports Park
Kai Tak Sports Park is a major Hong Kong venue for large concerts and sports events. Government and park information describes coach parking facilities, but no public parking during major events and special taxi/private-car arrangements. Cross-border coach boarding is at the Main Stadium's ground-floor G-level coach parking area, reached by escalator from outside Gate H on Level 2.
Arrangements may differ for each event
Car parks, boarding areas and coach parking may operate special arrangements for different events, or change during the same day. Check Transport Department and park notices for the specific event. Ask the organiser or venue whether group coaches may use designated parking and whether advance registration is needed.
Public transport after events
During major-event departures, the Sung Wong Toi Road pickup area generally serves special bus routes to different districts, with additional Tuen Ma Line trains. These serve individual spectators. Coach groups should agree a separate clear boarding point to avoid mixing with bus and taxi queues.
Suggestions for groups leaving Kai Tak
- Photograph the coach parking location before entry and share it with the group.
- Choose an assembly point inside the venue, such as a particular gate, then walk together to the pickup point after gathering.
- Use hourly return hire, or set a fixed transfer at least 30 minutes after the expected finish.
- Allow for the surcharge after 22:00.
For other major venues, including convention centres, arenas and hotel ballrooms, confirm coach boarding points with the venue in advance too.
Pick-up point
Assembly points: helping dozens of passengers board within 10 minutes
1. Gather first, then walk together
Do not send members individually to the coach. Assemble in a less crowded area inside or outside the venue, take a roll call, then have the coordinator lead the group.
2. Give each coach an identifier
For multiple coaches, use different numbers or colours and include registrations in notices. Coordinators can carry flags or signs.
3. Create messaging groups
Create a separate group for each coach to share assembly locations, boarding times and updates. Only the coordinator should contact the driver.
4. Agree a late-arrival policy
Explain beforehand that the coach leaves after the boarding deadline and latecomers must arrange their own return, avoiding charges for the entire group while waiting for a few people.
5. Choose pickup away from departure crowds
A slightly more distant, quieter pickup point can be faster than the entrance. It must comply with traffic rules and be agreed with the driver.
Routes
Planning drop-offs by district
District drop-offs help participants get home and are common for companies and organisations. Consider these routes:
| Route | Common drop-off points | Tip |
|---|---|---|
| Hong Kong Island route | Causeway Bay, Wan Chai, Admiralty and Central | Transfers include Cross-Harbour Tunnel; hourly tolls are extra |
| Kowloon East route | Kwun Tong and Tseung Kwan O | Concentrate stops at MTR stations |
| New Territories East route | Sha Tin, Tai Po, Fanling and Sheung Shui | More distant district band |
| New Territories West route | Tsuen Wan, Tuen Mun, Yuen Long and Tin Shui Wai | Longest route; consider dispatching first |
Extra en-route stops cost $100 each for hourly hire. Use MTR stations or major landmarks and limit each route to two or three stops. Combine low-demand districts rather than adding a coach for a few people.
Price
Event coach prices: six worked examples
These examples use the Flying Eagle price list for estimates only; actual charges follow the quotation.
| Charge | 24/28 seats | 45/60 seats |
|---|---|---|
| Urban Kowloon one-way | $500 | $700 |
| Urban Hong Kong Island one-way | $600 | $800 |
| Urban hourly hire, minimum 4 hours | $320/hour | $380/hour |
| More distant district hourly hire | $350/hour | $450/hour |
| Surcharge before 08:30 / after 22:00 | 28/45/60 seats: $100/$200 per trip | |
| Additional hourly-hire stop | $100 along the route | |
Example 1: company concert group with hourly return hire
45 staff travel from an urban Kowloon office in a 45-seat coach for $700 one-way. With an uncertain finish, the return uses 4 hours: $380 × 4 = $1,520, plus $100/$200 after 22:00. Estimated total: $2,320–$2,420, plus tolls and parking.
Example 2: the same event with a fixed return transfer
For an expected 22:30 finish, the group assembles inside and boards at 23:00. Two transfers cost $700 + $700 = $1,400, with night-time surcharges subject to quotation. If the event runs late, waiting beyond 15 minutes is charged as 1 hour.
Example 3: post-dinner drop-offs in three districts
120 guests use two 60-seat coaches for 4 hours: $380 × 4 × 2 = $3,040. Two additional stops per coach cost $100 × 4 = $400. After 22:00, add $100/$200 per coach. Estimated total: $3,640–$3,840.
Example 4: three-day exhibition hotel–venue transfers
Morning and evening exhibitor transport uses one 28-seat coach for 4 urban hours daily: $320 × 4 = $1,280/day. Three days total $3,840; departures before 08:30 incur an additional surcharge.
Example 5: early-morning running event
Runners assemble in Kowloon at 07:00 for a 45-seat transfer to the start, at $700 one-way. Since service is before 08:30, confirm the surcharge in the quotation.
Example 6: small VIP group
6 guests attend an awards ceremony with a seven-seater for 4 urban hours: $250 × 4 = $1,000; after 22:00, seven-seaters add $100 per trip.
Cross-border
Mainland groups and cross-border spectators
Mainland groups returning the same night after a concert or match need careful planning. MTR trains to Lo Wu have a last departure; after that, travellers must use a 24-hour border crossing. A chartered cross-border vehicle avoids changes.
Flying Eagle offers seven-seaters, 16-seat minibuses and 45/49-seat cross-border coaches. For 16/45/49 seats, departures after 19:30 add $500 per trip; seven-seaters after 22:00 add $200. Include this in evening event quotations. Passengers must bring valid documents. For routes and crossings, see the Hong Kong–mainland vehicle hire service and Hong Kong–mainland hire prices and booking guide.
Scenarios
Planning for different event types
Concerts
Finish times are especially uncertain; encores may add half an hour or more. Prefer hourly return hire and an indoor assembly point. If seats are scattered, choose an easily recognised gate.
Sports matches
Knockout matches may include extra time and penalties. Arrival is concentrated too, so leave early for the outward journey.
Annual dinners and award ceremonies
Finish times are more predictable, though draws and speeches can run late. A fixed transfer can work with boarding 15–20 minutes after the expected end.
Exhibitions and conferences
Clear timetables suit daily hourly hire. Overseas exhibitors can combine this with airport transfers.
Early-morning sports
Running, cycling and water sports often start early. Budget for service before 08:30; drivers may also need diversions around road closures after arrival.

Common mistakes
6 common event transport mistakes
- Boarding scheduled at the finish time: Exiting and roll calls take time and can exceed the 15-minute waiting limit.
- Not confirming venue boarding locations: Major events often involve traffic controls around venues.
- Forgetting night-time charges: Local services incur charges after 22:00; large cross-border vehicles add $500 per trip after 19:30.
- Members going individually to the coach: Gather, take a roll call and lead the group together.
- Too many district drop-off stops: Each extra stop adds $100 and extends the last passenger's journey.
- Booking too late: Popular event dates have high demand; enquire early.
